Your new role
Management of the Head diaries with timely awareness of appointments and production of associated papers
Efficient servicing of meetings including minute taking and the preparation and circulation of agendas and minutes as required
Preparation of documents as required by the Leadership team (some of these are substantial and heavily formatted, high stakes documents and use spreadsheets and databases as well as word processing)
Ensuring that persons attending meetings called by the head are fully briefed and provided with appropriate documentation in advance and that the head is provided with papers for his meetings
Handling all internal and external contacts for the head (face to face and by telephone) in a professional and courteous manner, and taking appropriate action
Providing a service which includes assistance with:
The maintenance of staff records
The recording of staff absence
The drawing up of contracts of employment
The advertising of vacancies and organisation of interviews
A confidential secretarial service in connection with staffing matters, including the drafting of letters
Managing the hospitality budget and ensuring appropriate provision of service
Being responsible for healthy and safety within areas of own responsibility as laid out in the schools Health & Safety Policy.
What you’ll need to succeed
Schools experience is essential
Ability to deal appropriately with confidential and sensitive information
Proven secretarial, administrative and document presentation skills
Computer literacy
Excellent organisation skills, with the ability to prioritise workload as appropriate
Excellent interpersonal skills, with the ability to communicate with staff and all external contacts at all levels
Ability to work independently, proactively and complete tasks with the minimum of supervision
Ability to work under pressure, often to tight deadline
