As the Personal Assistant, you will provide support to UK senior management (UKEC) with regards to taking responsibility and ownership of office organisation, project administration, deadline compliance, and important documents and files.
Job Role & Responsibilities
Be the first point of call for the members of the UKEC (Directors) shielding them from unwanted callers in person and on the phone.
Organise and schedule internal and external meetings for the UKEC members.
Prepare meeting agendas, perform research when applicable and take minutes during meetings.
Book UKEC travel arrangements including flights, transportation, and hotels
Liaise with other senior PAs in Ireland as needed.
Ensure timely submission of the UKEC expenses through Agresso
Maintain confidential office correspondence, including franking and receiving post.
Manage the diaries and schedules of the UKEC members.
Liaise with clients and business guests where appropriate.
Maintain electronic filing system, ensuring processes and software are up to date and in working order.
Liaise with other staff members on behalf of senior management
Prepare and deliver monthly reports
Other reasonable duties as assigned.
Requirements & Experience
A formal qualification in Business Administration or equivalent is desirable but not essential.
Suitable level of experience and knowledge in related Executive/Personal Assistant function is required.
Direct experience working within an engineering or professional services is strongly preferred.
High level of proficiency with MS Office suite of software, in particular Powerpoint and Excel
Excellent organisational skills, combined with ability to prioritise competing demands with methodical approach towards completion of tasks.
Must be a confident and effective communicator, both written and verbally.
